Instruo

Workflow automation for Australian recruitment agencies

Give consultants less administration and more room for judgement.

Instruo helps recruitment agencies identify and remove repeated work across the ATS or CRM, inbox, calendar, documents, timesheets, payroll handoffs and management reporting.

Sector problem

The operational load grows before the headcount does.

As an agency adds consultants, clients, candidates and contractors, small administrative steps multiply. Work spreads across inboxes and individual habits, becoming difficult to see and inconsistent to execute.

  • 01

    Candidate administration

Capture and normalise information, detect missing fields and route exceptions for judgement.

  • 02

    Interview coordination

Collect availability, create events, send reminders and surface rescheduling exceptions.

  • 03

    Reference and compliance

Request documents, track receipt and expiry, and route exceptions for accountable review.

  • 04

    Contractor onboarding

Check completeness, prepare approved system updates and notify payroll of exceptions.

  • 05

    Timesheet handling

Remind before cut-off, identify missing approvals and create a clear exception queue.

  • 06

    Management visibility

Show work awaiting action and reduce manual weekly report assembly.

These are investigation areas, not assumptions about your agency. The audit establishes what actually happens.

Illustrative workflow, not a client case study

Contractor onboarding handoff.

Before

  1. Documents arrive through email.
  2. Operations chases missing fields.
  3. Details are copied into several systems.
  4. Status is difficult to see.
  5. A late exception threatens payroll cut-off.

Controlled target

  1. An approved placement triggers a request.
  2. Required fields and documents are collected.
  3. Validation exposes missing information.
  4. Exceptions enter a human review queue.
  5. Each role receives appropriate status.

How value is tested

Measure the workflow before claiming the saving.

The diagnostic tests volume, handling time, rework, delays, exception rates, ownership and available system evidence. Capacity released from administration is reported separately from cash savings, and implementation and operating costs remain visible.

Readiness checks

  • The workflow repeats often enough to measure.
  • One person owns the operating outcome.
  • The agency can provide representative examples without exposing sensitive data.
  • The systems provide an approved interface or a controlled operating path.

Decision checks

  • Normal work and exceptions have named owners.
  • Human judgement remains where context, compliance or consequence requires it.
  • The downside case remains commercially sensible.
  • A simpler process change has not already solved most of the problem.

Operating principle

Keep judgement human. Automate the coordination around it.

Recruitment contains context, persuasion, trust, legal duties and decisions that should not be reduced to an opaque score. Instruo focuses first on repeated coordination and information movement.

One consistent relationship

Every engagement has a dedicated Client Success Partner as the client’s consistent primary contact. Depending on the approved scope, that person may be the founder or another Instruo delivery lead. Any additional specialist involved is identified before access is granted or delivery begins.

Visible delivery responsibility

Responsibilities, access, decision rights and acceptance criteria are agreed for the approved scope before delivery begins.

Do you replace our ATS or recruitment CRM?

Not by default. The first aim is to use the existing system properly and address handoffs around it.

Can you automate candidate screening?

Instruo is cautious with automated screening and ranking. Lower-risk extraction for human review may be considered with suitable controls.

Can you integrate Bullhorn, JobAdder, Vincere or another ATS?

Possibly, depending on product edition, API access, permissions, data model and workflow. The audit verifies the actual path.

How much time will automation save?

That cannot be stated responsibly before volume, handling time, exceptions and adoption assumptions are understood.

Discuss one agency workflow

Where is consultant or operations time being lost?

Start with one repeated workflow, the systems involved and what happens when the process is delayed or incomplete.
