Instruo

Systems & Integrations

The valuable unit is the workflow, not the app connection.

Instruo assesses how work should move across the systems a business already uses—from trigger and validation through approvals, system updates, notifications, reporting and recovery.

Systems commonly assessed · Feasibility confirmed during the audit · No partnership or universal compatibility claim

Systems by business function

Start with the operating stack already in place.

Product names help define the investigation. They do not replace technical verification of the exact edition, access method, permissions, data structure and contractual constraints.

Illustrative connection patterns

Make the whole path dependable.

Each example includes an explicit exception path because reliable automation must account for missing information, unusual cases and decisions that should remain human.

Illustrative pattern 01

Website form or inbound emailValidate + assignCRM record + follow-up task

Exception pathIncomplete or duplicate records go to a named owner.

Illustrative pattern 02

CRM stage changeApprove + generateAgreement, job + accounting handoff

Exception pathCommercial exceptions remain subject to human approval.

Illustrative pattern 03

Recruitment placementCollect + verifyOnboarding + payroll handoff

Exception pathMissing documents enter a visible exception queue.

Illustrative pattern 04

Shared inboxClassify + reviewRoute + tracked response

Exception pathSensitive or uncertain messages wait for human judgement.

Illustrative pattern 05

Supplier or customer documentExtract + validateCorrect record + filing location

Exception pathLow-confidence or mismatched data is not written automatically.

Illustrative pattern 06

Multiple operating systemsNormalise + reconcileScheduled management reporting

Exception pathSource gaps and failed refreshes are logged and owned.

Illustrative pattern 07

Signed approvalVerify + authoriseControlled update + audit log

Exception pathMismatched or expired approvals are held for review.

Illustrative pattern 08

Calendar, CRM and emailSchedule + remindStatus update + no-show follow-up

Exception pathConflicts and rescheduling requests return to a human owner.

Illustrative pattern 09

Job completionCheck evidenceInvoice + customer notification

Exception pathIncomplete evidence blocks invoicing and names the next action.

Illustrative pattern 10

Failed automation or unusual dataLog + classifyNamed owner + recovery path

Exception pathThe case remains visible until resolved or deliberately closed.

What the audit verifies

Technical possibility is only one part of the decision.

An available connector can still produce a weak operating design. The assessment looks at purpose, ownership, failure consequences and the commercial case around the technology.

  1. 01

    Access path

API, webhook, native connector, approved export or another controlled interface.

  2. 02

    Data contract

Required fields, identifiers, formats, validation and duplicate handling.

  3. 03

    Permissions

Who or what may read, create, change and approve each action.

  4. 04

    Exception behaviour

What becomes visible when information is missing, uncertain or rejected.

  5. 05

    Operational ownership

Who responds, recovers, changes and ultimately accepts the workflow.

  6. 06

    Commercial fit

Whether the burden, value, complexity and risk justify implementation.

Does a system listed here mean a guaranteed integration?

No. These are systems commonly assessed. Feasibility depends on the exact product edition, API or export availability, authentication, permissions, data model, vendor terms and the workflow controls required.

Do you need to replace our current software?

Not by default. Instruo starts with the systems already in use and looks for a controlled way to improve the handoffs between them.

Which automation platform will you use?

The mechanism follows the workflow and its risk. Native automation, Power Automate, Make, n8n, Zapier or custom API and webhook services may be considered where appropriate.

What happens when an automation fails?

Dependable designs define validation, logging, a named exception owner and a recovery path. A failed or unusual case should become visible work, not disappear silently.

Start with the workflow

Find out whether the problem is worth solving.

A 30-minute Automation Opportunity Call is a practical first filter. We will clarify the workflow, its operational effect and whether a paid diagnostic is justified. If the case is weak, we will say so.

No charge. No obligation. Not a free technical audit.
